Employers may utilize the monthly or quarterly reporting program or submit copies of individual notices of employment.

The University System shall be notified in writing when a candidate is employed or whenever there is ANY change in the employment status of an employee, except telephone number, an address, and/or a change in rate of pay.

The purpose of issuing a notice, i.e., new employee, change in name, correction in spelling of a name, reassignment, transfer, former employee, return from leave, return from layoff, classification of position, reclassification of position, reallocation of position, correction of class title, change-in-title, or any other special purpose.

Information necessary for University System records is shown on Example 2.10a.

For employee notices involving change(s) of employment status, the employer shall also include:

  • Class of position from which employee is moving and class of position to which employee is moving.
  • Civil Service position number of position from which employee is moving and Civil Service position number of position to which employee is moving.
  • Department in which position is located from which employee is moving and department in which position is located to which employee is moving.

Only the official class title shall be utilized on employment information submitted to the University System office.
